The purpose of the privacy notice is to inform you about what personal information we collect whether this is through our website, the testing funding process or other interaction with the UK SAF Clearing House coordination team. The UK SAF Clearing House is delivered by the UK’s Department for Transport (DfT), the Energy Institute of University of Sheffield and Ricardo, who will have access to the data collected unless otherwise stated. Your data is not shared with organisations beyond those listed in this privacy notice. DfT is the data controller and Energy Institute of University of Sheffield and Ricardo are the data processors.

Website forms
How is my data collected through website forms?
We use forms on the website to enable you to easily contact the UK SAF Clearing House and we will use the information shared to understand your question or contact request and will engage with you as appropriate.
We also use forms as part of the testing application process, where the information you submit will be shared with the three delivery partners (DfT, Energy Institute of University of Sheffield and Ricardo). As part of submission of the delivery of the testing application process, we may collect data that some organisations providing the information might deem as ‘commercially sensitive’. This data will be stored securely and only viewed directly by the team responsible for reviewing the application who will not have any competitive or commercial benefit from reviewing the data. Each form includes a tick box that confirms you consent for us to store your personal information on our secure systems and to use your data for the purposes stated on the form. If you do not tick the box that confirms your consent, your data will be erased.
How long will we store your information?
We will hold the information provided through the forms until March 2025, after this time we will contact you to either request consent to continue to store your information or it will be securely deleted.
If you wish your contact details to be deleted from the UK SAF Clearing House contact database, you will need to request this in writing to Jemma.Howland@ricardo.com
Legitimate interest:
There are instances where we process data under the lawful basis known as ‘legitimate interest’. When we adopt this approach, we carry out a legitimate interest test in accordance with relevant data protection regulations, which enables us to understand if it is an appropriate method.
Example:
We may use the legitimate interest approach to process your data related to the project funding process, for example we may process the data to understand regional distribution of funding or to contact you in relation to new events or webinars that we might hold on related topics such as sustainable aviation fuels or the aviation industry.
